    Reviews & tasks

    KYC/CDD reviews recur every years from the last review; mandate (IPS) reviews every months; quarterly portfolio reviews are due days after quarter end. Intervals are set under Settings. Once a review is recorded, the next one can only be recorded from 90 days before its due date, so a cycle cannot be recorded twice; every completed review is also written to the client's notes.

    Whitelist requests

    Portfolio managers and RMs request a counter to be added to the approved universe; the CIO approves or rejects. A blacklisted counter can only be rejected until Compliance lifts the blacklist. Approved counters go straight onto the whitelist in the security master.

    Personal account dealing

    Staff must obtain CIO pre-approval before dealing for their own account. A counter is a conflict if a client order in it was placed within days before the request or within days after the personal trade. Approval is valid for days; the trade must be reported once done and is verified by Compliance against the broker statement. Days are set under Settings.

    Client onboarding

    One checklist per client. All items must be evidenced before the client is set to Active; the checklist is the audit trail MAS and your auditor will ask for.

    Fees & billing

    Fee schedules live on each mandate. A fee run computes management fees on NAV × rate × days/365 and, where the mandate crystallises in the period, a performance fee on the excess over the high-water mark and/or hurdle, net of client flows. Each record tracks invoicing and the amount the custodian actually debited; the HWM updates when a performance fee is invoiced.

    Time-weighted return (TWR) chain-links the return between consecutive NAV snapshots, using Modified Dietz where a client flow falls inside a sub-period. Money-weighted return (MWR) is the internal rate of return of the opening value, the client's flows and the closing value. Returns for periods under one year are shown for the period, not annualised; periods of a year or more also show the annualised rate (p.a.). Calendar-year returns run from one year-end valuation to the next. A NAV snapshot is taken automatically whenever positions are repriced, imported, filled or a cash movement is posted; a snapshot for a cash movement or fill dated after the last valuation carries old prices, so it is shown as "not a valuation" and returns are measured across it with Modified Dietz instead. Where you have the custodian's statement NAV, enter it on import or with Set NAV so returns tie to the statement; accuracy improves with more frequent snapshots.

    Client statements

    Holdings, allocation, transactions, fees and performance for a period — per mandate, or consolidated in SGD for a client with several mandates.
    Choose a mandate and period, then build.

    Counter lists and security master

    Whitelisted counters auto-approve at the list check; blacklisted counters are blocked; anything else needs the CIO. Asset class and sector feed mandate checks.
    Roles: Operations maintains security-master details and adds new counters as "Not listed". Compliance controls the blacklist. The CIO controls the whitelist, directly or by approving whitelist requests. Portfolio managers and RMs raise whitelist requests.

    Database capacity

    Thinning keeps daily NAV snapshots for the last 90 days and month-end snapshots before that.

    Data management

    Admin only. Clearing a data area deletes every record in it for all users and cannot be undone — take a backup first. Roles, reference data, settings and FX rates are never cleared here.

    Deleted records

    Positions, snapshots, NAV points and counters that people delete are kept here with who deleted them and when, and can be restored. Restores from backup and bulk clears are listed too.

    Dealing desks by custodian

    Each mandate's orders are emailed to the dealing desk of its custodian. Custodians come from Reference data; set the desk address for each here.

    Reference currency is SGD. Enter each currency's rate as SGD per 1 unit (e.g. USD 1.29). Mandate values are converted to the mandate base currency at these rates; MAS reporting uses the SGD figure.

    MAS publishes daily rates as SGD per unit (per 100 for JPY, IDR, KRW, THB, INR and a few others). Currencies in use without a rate are shown in red.

    CIO delegation

    When the CIO is away, a named delegate approves orders, whitelist and personal dealing requests. Decisions record "Acting CIO (delegate)".

    Used only for mandates whose custodian has no desk address above.

    Users & roles

    Only admins can change these. Operations create clients and mandates. Relationship managers see only clients tagged to them; portfolio managers see only mandates they are assigned to. Ops, Compliance, CIO and admins see everything. This scoping is applied in the app; the database applies the same rules, so nobody receives records outside their scope. Personal dealing is visible to Compliance, the CIO, admins and the requester.
